How To Book A Conference Number

The Office Manager is responsible for managing the generic conference call numbers available in both the Sydney and Melbourne Office.

How to Book a Conference Call Number

  1. Double-click the day for which you want to make a booking.
  2. Enter Subject and Start time/End time in the window that appears.
  3. Click Scheduling Assistant.
  4. In the global address list that displays, search for “conference call”.
  5. Select the conference call to use by highlighting it and then add it to the resources section by clicking on “resources
  6. Select the people to be invited in Add attendees.
  7. Click Send.

When looking at the conference call details listed in outlook, the phone details are provided including host and guest passcode and also a hyperlink if you need additional dial in numbers.

How can I make sure that my Conference Call reservation was successful?

  • The conference call resource has sent a accept response message (Accepted), and the meeting details have not been changed afterwards. Make sure that the reservation message comes from the conference call, as the attendees also send them.
  • Open the conference call reservation calendar and check that your own reservation is there. The conference call reservation calendar is the only reliable way of checking who has valid reservations.
  • If the meeting has been changed, remember to inform all attendees and the conference call resource of it (Send Update), and make sure that you receive accept response messages.
